Who we are
Gemstone Consulting Services, LLC ("Gemstone," "we," "us") is an AI integration, adoption, and governance consulting firm based in New York. This policy explains what information we collect through our website, assessments, forms, chat, and email, how we use it, and the choices you have.
This policy covers our website and marketing activities. Work we perform for clients is governed by our client agreements, which take priority over this policy where they differ.
Information we collect
Information you give us
- Contact and booking forms: name, email, phone, organization, and your message or meeting details.
- Assessments and quizzes: name, work email, organization, organization type, your answers about your organization's practices, and your results.
- Purchases: name, email, billing details, and what you bought. Card and payment details are handled by our payment processor; we do not see or store your full card number.
- AI chat assistant: the questions and information you type into the chat.
- Email and calls: what you send us or discuss with us.
Our assessments and quizzes ask about your organization's practices, not about any individual client or patient.
Information collected automatically
When you visit our website, we and our analytics and advertising providers collect information such as your IP address, browser and device type, pages viewed, the page that referred you, and approximate location. We use cookies and similar technologies to do this (see Cookies and analytics).
How we use your information
- To respond to you, schedule meetings, and deliver what you request, including your assessment results
- To process purchases and deliver products and services
- To send you emails about AI governance, our services, and resources, when you have agreed to receive them
- To understand how our website is used and improve it
- To measure and improve our advertising
- To comply with legal obligations and protect our rights
Your consent and email choices. When you complete an assessment, quiz, or form and check the consent box, you agree that we may email you your results and occasional updates. Every marketing email includes an unsubscribe link. You can also withdraw consent at any time by emailing [email protected]. We will still send messages you need about a purchase or engagement.
How we use artificial intelligence
Our website chat assistant is AI. The chat on our website is an automated AI assistant, not a person. What you type is stored in our customer management system and may be reviewed by us so we can follow up. Do not enter confidential, health, or client information into the chat.
AI in our work. We use AI tools, which may include general-purpose AI assistants, writing assistants, and AI features built into our software, to help draft and produce documents and materials. The tools we use may change over time. When we use them, we follow these rules:
- We do not enter confidential client information or any health information into AI tools. Information we use with AI tools is limited to what the work requires, such as an organization's name and other publicly available details.
- Where a tool offers the setting, we turn off the use of our inputs to train AI models.
- A person at Gemstone reviews all AI-assisted work before it is delivered.
- We use AI meeting note-takers only when participants are told at the start of the meeting, and never on calls where client or patient health information may be discussed.
Do not send us health information
Many of the organizations we serve handle information protected by HIPAA, 42 CFR Part 2, and state confidentiality laws. Please do not submit patient, client, or other protected health information through our website, assessments, forms, chat, or email.
Our services do not require access to patient or client health information, and we do not request it.
Who we share information with
We share information only with service providers that help us run our business, and only as needed for them to do so:
- Customer management, email, website, and chat: GoHighLevel and its email delivery partners
- Payments: Stripe
- Scheduling and video meetings: our booking calendar, Zoom
- Analytics and advertising: Google Analytics, Meta
- AI tools: AI assistants and writing tools, subject to the rules above
These providers have their own privacy policies. We may also disclose information when required by law, to protect our rights, or as part of a sale or merger of our business.
We do not sell your personal information.
Cookies and analytics
We use Google Analytics to understand how visitors use our site, and the Meta Pixel to measure and improve our advertising. These tools use cookies to collect the automatic information described above. We do not place the Meta Pixel on our assessment pages.
You can block or delete cookies in your browser settings. You can opt out of Google Analytics with the Google Analytics opt-out add-on and manage Meta ads in your Facebook ad preferences.
How long we keep information
We keep contact and assessment information for as long as you remain on our email list or are a prospective or current client, and for up to three years after our last contact with you. We keep purchase records as long as tax and accounting law requires. You can ask us to delete your information sooner.
Security
We take reasonable administrative and technical precautions to protect your information from loss, misuse, and unauthorized access. No method of transmission or storage is completely secure.
Your choices
You can ask us to access, correct, or delete the personal information we hold about you, or to stop sending you marketing emails. Email [email protected] and we will respond within 30 days. Depending on where you live, you may have additional rights under state law.
Children
Our website and services are for adults acting for organizations. They are not directed to children under 13, and we do not knowingly collect information from them.
Links to other websites
Our website may link to other websites. We are not responsible for their privacy practices, and this policy does not apply to them.
Changes to this policy
We may update this policy. When we do, we will change the "Last updated" date above. If we make material changes, we will post a notice on our website.
